Overview
Compliance at Retain is a shared responsibility among three parties: Retain, the physicians we verify, and the law firms who retain them. Each depends on the others, so we enforce clear rules for everyone from the moment they join, before any introduction is ever made.
Expert screening
Every expert on Retain goes through credential review before they can appear in any match: medical licensure, board certification, education, and employment history, submitted with a current CV. Our review combines AI-assisted document analysis with human verification, no expert is approved automatically. Experts must also disclose any disciplinary history, and attest that their information is accurate; submitting false information is grounds for removal.
Engagement rules
Before participating in any engagement, experts agree to rules designed to protect our clients: maintain the confidentiality of all case information; confirm the absence of conflicts of interest before accepting a matter; never breach duties owed to employers, institutions, or other third parties; and provide only independent, honestly held professional opinions. Retain never directs the substance of an expert's opinion.
Conflict checks
Case requests are reviewed before any expert is contacted. Experts see only the information needed to determine fit and availability until a mutual interest is established, and each expert must affirmatively confirm they are conflict-free for the specific matter before an introduction proceeds.
Client compliance requirements
Law firms often carry their own compliance policies. Clients may submit engagement-specific requirements with any request, for example, excluding experts affiliated with particular institutions or requiring pre-approval before contact, and we apply them during matching before any expert is approached.
Data handling
Expert documents (CVs, credentials) are stored in private, access-controlled storage and are visible only to the expert and authorized reviewers. Case information is shared only as needed for matching. Details are in our Privacy Policy.
Ongoing accuracy
Experts can update their profile and documents at any time; material changes are re-reviewed. Experts must notify us promptly of any change in licensure or professional standing.
