Information we collect

From physicians (experts)

Account details (name, email, phone); professional information you submit for verification, including your CV or resume, specialty, licensure, board certifications, education, employment history, and fee preferences; and documents you upload. Your CV and supporting documents are treated as confidential and are visible only to you and our verification team until you are approved, and thereafter only as described below.

From attorneys and law firms (clients)

Account and firm details (name, firm, email, phone) and the case information you submit with a request, case type, specialty needed, jurisdiction, timeline, budget range, and any case summary you choose to provide.

Automatically

Standard usage data such as pages viewed, device and browser information, and IP address, collected via cookies and similar technologies for security, analytics, and improving the Platform.

How we use information

We use information to: verify expert credentials (including AI-assisted analysis of submitted CVs, always subject to human review); match case requests with suitable experts; operate, secure, and improve the Platform; send transactional communications about your account and applications; and, only with your opt-in, send marketing communications such as case opportunities and fee insights, which you can unsubscribe from at any time.

How we share information

We do not sell personal information. We share it only: (i) with prospective counterparties as the marketplace requires, a verified expert's professional profile with prospective clients, and relevant case details with prospective experts; (ii) with service providers who process data on our behalf (hosting, authentication, document storage, email delivery, and AI processing for CV analysis), each bound to use it only to provide their service; and (iii) where required by law, legal process, or to protect the rights and safety of Retain and its users.

Cookies & analytics

We use necessary cookies for sign-in and security, and analytics to understand aggregate usage. You can control cookies through your browser settings; disabling necessary cookies may prevent parts of the Platform from working.

Data security

Information is encrypted in transit; uploaded documents are stored in private storage and served only through access-controlled endpoints limited to you and authorized reviewers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Retention & your rights

We retain information for as long as your account is active or as needed to provide the Platform, comply with legal obligations, and resolve disputes. You may access, correct, or request deletion of your personal information, including uploaded documents, by emailing privacy@retainexpertwitness.com. We will respond within the timeframes required by applicable law.

California residents

If you are a California resident, you have the right to know what personal information we collect, to request deletion, to correct inaccurate information, and to not be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined in the CCPA/CPRA. To exercise your rights, contact privacy@retainexpertwitness.com.

International users

The Platform is operated from the United States and intended for U.S. users. If you access it from elsewhere, you consent to the transfer and processing of your information in the United States.

Children

The Platform is not directed to anyone under 18, and we do not knowingly collect information from minors.
